SDSU Gmail rename project and SDSUid integration:

The next step for SDSUid will be the integration of SDSUid with Google’s G Suite, which includes applications such as Gmail, Calendaring, and Google Docs. Once completed, you will be able to use your SDSUid username and password to authenticate to Google. In addition, primary email addresses and Google usernames will be changed from “@mail.sdsu.edu” to “@sdsu.edu” for everyone but it will be done in such a way that you will still be able to receive emails sent to the old “@mail.sdsu.edu” addresses.

This change will occur during the first weekend of Spring Break 2018 (3/24/2018 through 03/25/2018). During this maintenance interval, SDSU G Suite (Gmail,Calendar, Docs, Drive etc...) will be unavailable.  Your email account will continue to receive email during the maintenance period.  As that date approaches, further notifications and details will be sent to faculty and staff.

The Google transition will complete the integration of enterprise campus-wide applications to SDSUid, where over 85 applications have been successfully integrated with SDSUid thus far.

What to do after your account is renamed to @sdsu.edu

After your SDSU Gmail account is renamed from @mail.sdsu.edu to @sdsu.edu (e.g. [email protected] to [email protected]), you need to follow these steps to update your email domain information with the new settings.

In all cases that apply from the list below, you will change the old account name from @mail.sdsu.edu to @sdsu.edu (as in the previous paragraph example).

Suggested order of updates / changes to perform after your account is renamed to @sdsu.edu:
  1. Change your SDSUid / Office 365 password – Set a new password for SDSUid and Gmail.
  2. “Forget” the eduroam wireless network connection & add it back – Remove existing eduroam connection from your portable device and setup a new connection.
  3. Log in to your Gmail web client – Type in the new @sdsu.edu account name and log in with the new password that was setup previously at portal.office.com.
  4. If applicable, log in to your mobile device email client (e.g. Android and iOS) – Configure the client with the new account name.
  5. Log in to your desktop computer mail client (e.g. Outlook, Thunderbird and Mac Mail) – Configure the client with the new account name.
  6. We recommend you restart your computer.

To change your SDSUid account password go to SDSUid user profile management and select Change Password.

This password will flow to your SDSU Gmail account. Afterwards, your SDSUid and SDSU Gmail will have the same password.

  1. Log in to the Office 365 Profile page for your account and select the Change password option. Select Change Password
  2. Type in your old password in the Old password box and your new password in the Create new password and Confirm new password boxes. Type old and new passwords
  3. Close and restart the browser, go to gmail.com and test your new password.

To reconfigure the eduroam wireless network, you will first need to “Forget” the eduroam network on your laptop or mobile device. While on campus you will need to:

  1. Go to the Settings application on your device.
  2. Open the Wi-Fi option.
  3. Select eduroam and choose "forget network".
  4. You can now re-connect to eduroam as you have previously.
  5. eduroam should prompt you for your SDSUid and new password.
  6. You will be connected to eduroam with your new SDSUid password.
 

After first updating your SDSUid password, go to gmail.com and verify that you can access your SDSU email with the SDSUid password.

  1.  If your Google account login has your old account in the Choose an account list, select the Use another account option.
  2. Type in your new @sdsu.edu email address. In the example we are using [email protected] Click on NEXT, type your password in the next screen, click on NEXT and you will access your email. Gmail logon screen
  3. If you performed these steps at a computer and just performed the password reset, restart the computer and log in with the new password.

  4. After the restart, you will now be able to access portal.office.com and your SDSU Gmail with the same password.

If you have your SDSU Gmail configured on a device, you need to update your device mail client to reflect the new @sdsu.edu values. The steps will vary from each version of the operating system platform of your device (Android or iOS) and also can vary depending on your version of the device operating system. In both cases you must remove the old account and setup the new account.

 Android version 8 – remove the old account and add new account

  1. Swipe down from the top of the main Home screen and select Settings or go to the Settings app.
  2. Select Google from the Accounts list.
  3. Select the Google account that you want to remove (if you have more than one).
  4. Tap the Menu button (three vertical dots).
  5. Select Remove account to confirm that you will remove the old @mail.sdsu.edu account.
  6. The Settings screen should still be open (if not, open it), go to Accounts
  7. Select Add Account and then select Google
  8. Type in your new @sdsu.edu email address, select NEXT
  9. Type in your new SDSUid password when prompted and click NEXT
  10. If you are presented with a screen to accept the Terms of Service and Privacy Policy, select  Accept and then Continue
  11. Your new @sdsu.edu account is setup.

 iOS version 11 – remove the old account and add new account

  1. Go to Settings on the home screen.
  2. Select the Accounts & Passwords option.
  3. Select the Gmail account that you want to remove (if you have more than one).
  4. Select Delete Account and then select the Delete from My iPhone
  5. You will be at the Accounts & Passwords screen, select Add Account
  6. Choose Google from the list of account types.
  7. At the Google Sign In screen type in your new @sdsu.edu account and click NEXT
  8. Type in your new SDSUid password when prompted and select NEXT
  9. Select the appropriate Gmail functions that you want displayed (Mail, Calendars, etc.) and select SAVE
  10. Your new @sdsu.edu account is setup.

Note: The screens might be different with other versions of Microsoft Outlook, but the process will be similar to change the account information

  1. When you open the Microsoft Outlook 2016 mail client on your computer it will display a pop-up window with the old account information. Press Cancel in order to correct the account information as will be described in the next steps. Outlook logon screen with old profile name
  2. Go to the Search box and type Control Panel, when you see the actual Control Panel – Desktop App match appear, click on it to open the Control Panel window and look for the Mail program from the list of programs. Search for control panel
  3. Perform the following steps in the numbered sequence from the image below:
    1. Click on the Mail icon.
    2. Typically you will have only one profile (if not, select the appropriate one that needs to be updated), click on Properties
    3. In the Mail Setup pop-up, select E-mail Accounts…

    4. In the Account Settings screen, in the E-mail tab, select the account that needs updating and click on Change…

    5. In the Change Account screen, you will correct the Email Address: and User Name: values. Perform the following steps in the numbered sequence from the image below:

      1. In the Email Address:  box, remove the mail. from the field.
      2. In the User Name: box, remove the mail. from the field.
      3. Click on More Settings…
      4. In the Internet E-mail Settings pop-up screen, under the General tab remove the mail. from the field and click OK
      5. Click on Next Change account screen
      6. A test will be performed and when all is Completed correctly, you can click Close Test account settings
      7. At the last Change Account screen, click Finish and you have completed the name change for the Outlook client. Change Account finish screen
      8. Close all of the windows that you opened by clicking Close or OK as appropriate. Close all open windows
      9. Open Outlook 2016 as normal and you can start working. Open Outlook 2016 Outlook client with new values

Note: The screens might be different with other versions of Microsoft Outlook, but the process will be similar to change the account information.

  1. When you open the Microsoft Outlook 2016 OS X mail client on your computer it will display a pop-up window with the old account information. Press No in order to correct the account information as will be described in the next steps. Outlook Mac client error
  2. Go to Tools and then select Accounts Click on Tools and then Accounts
  3. In the Accounts screen change all items that have @mail.sdsu.edu to @sdsu.edu.
    1. In the Account description: box, remove the mail. from the field.
    2. In the E-mail address: box, remove the mail. from the field.
    3. In the User name: box, remove the mail. from the field. Screen shows @mail values to remove
  4. After all the values have been changed, close the window by clicking the red button icon on the upper-left corner. Screen with correct @sdsu values
  5. After you are back on the main screen, go to the Apple menu bar, click on the Outlook program and select Quit Outlook Select Outlook from menu bar and Quit Outlook
  6. Open Microsoft Outlook 2016 as normal and you can start working. Outlook window with new account values

Note: The screens might be different with other versions of Mozilla Thunderbird, but the process will be similar to change the account information.

  1. When you open the Mozilla Thunderbird mail client on your computer, you need to update the settings to reflect the new email domain of @sdsu.edu for your account. At the main Thunderbird screen click on Tools Thunderbird mail with old values
  2. From within the Tools drop-down menu select the Account Settings option. Select Account Settings in the Tools drop-down
  3. At the Account Settings screen, click on the email account that needs the information updated on the left pane. In the Account Settings – <[email protected]> ([email protected] in the example), go to the Account Name: box and remove the mail. from the field. Now go to the Email Address: box and remove the mail. from the field. Account Settings, update values
  4. The screen shows the updated values. New values display
  5. Click on the Server Settings label on the left pane and on the right pane, go to the User Name: box and remove the mail. from the field. Server settins with old values to change
  6. The screen shows the updated values. Close the screen by clicking OK Server settings with correct @sdsu.edu values
  7. Open Mozilla Thunderbird as normal and you can start working. Mozilla Thunderbird with new values

Note: The screens might be different with other versions of Mac Mail, but the process will be similar to change the account information.

  1. To update your Mac Mail client to the new @sdsu.edu address, Open the Mac Mail client and then right click on the Inbox and then select the Edit “Google”… (or the account name you have setup for your SDSU Gmail email). Right click on Inbox and Edit Gmail account
  2. You will change the following values in the Accounts window:
    1. In the Email Address:  box, remove the mail. from the field.
    2. In the User Name:  box, remove the mail. from the field.

  3. All the settings should reflect the new @sdsu.edu values. Close the Accounts window by clicking on the red button icon on the upper-left corner. Screen shows new updated @sdsu values
  4. When prompted to save your settings, click Save Save updated values screen
  5. Now quit the Mac Mail program by going to the menu bar and clicking on Mail and then selecting Quit Mail Quit Mac Mail
  6. Open Mac Mail as normal and you can start working. OPen Mac Mail with new values
