In alignment with the SDSU Strategic Plan priorities Resilience. Designed to Thrive and Students at Our Core, the goal of the my.SDSU project is to enhance the university's ability to serve students, faculty and staff by leveraging one of the leading enterprise student information system platforms in higher education.

Description

The University has been using a collection of distributed, home-grown systems developed over the last two decades to support the University’s enterprise information systems needs in support of the University’s mission to provide quality education, experience, and service to students, faculty and staff. After considering the operational cost of maintaining home-grown systems, and the impact to the institution should these systems fail, the University determined to collectively replace these systems with PeopleSoft Campus Solutions 9.2  / CSU CMS (Common Management Systems) Baseline with the Fluid User Interface for student self-service.

Once fully implemented, my.SDSU will serve as the centralized gateway for the critical systems that SDSU students use on a daily basis. Ultimately, my.SDSU will result in drastic improvement to how SDSU recruits and supports students academically and financially while enhancing security, improving the user experience, and leveraging best practices and business processes. The project is also meant to improve our productivity and agility in the use of mobile and digital technologies, as well as overall data utilization to serve and meet the needs of students, faculty and staff.

The my.SDSU project is grounded in the following Guiding Principles:

  • Transform the Student Experience: Enhance the student experience through more student-centric and transparent processes. 
  • Adopt the CSU Standard: Adopt CSU technology Standards to provide a streamlined, cohesive front and back-end user experience that is aligned with CSU best practices. 
  • Adopt Leading Practices &  Business Processes: Adopt leading practices and business processes that improve effectiveness, access and efficiency.
  • Transform the Use and Availability of Data: Increase access to data in support of decision-making that tells the story of SDSU for current and future students. 
  • Foster Collaboration & Community Engagement: Facilitate inclusive communication & foster community involvement and trust for a people-centric implementation.

Project Approach & Deliverables

In April 2021, the project is continuing with a new implementation partner -- Huron Consulting Group. With Huron, we are beginning with an initial focus on information gathering to understand our progress to date with a focus on targeted intentionality, increased communication and overall inclusion across the university.

Discovery: The goals of this phase include reviewing the activities that have already been completed and the progress made on this project to date supplying a clear framework for how the project will continue to completion.

Design & Configure: The goals of this phase include completing the outstanding design and configuration work that was identified during the Discovery phase.

Validate: The goals of this phase include conducting preliminary testing to verify that the planned configuration and business processes are as expected.

Transition & Realize: The goals of this phase include deploying the new system and to effectively manage the transition from implementation to stabilization. 

Knowledge transfer starts on day one of the project and occurs each day through both formal and informal methods that are quantified and monitored.

my.SDSU Project Timeline

The project is divided by go-lives – which indicates when new functionalities in the CSU Standard are turned on for the SDSU community. We are currently revising our project timeline to reflect a revised approach for the Fall 2022 semester (reflected below). 

For the Fall 2022 semester, students will utilize WebPortal for admissions, course enrollment and registration. Students will use my.SDSU for financial aid, student accounts, and payment of tuition and fees.

  • Go-Live 1/1A: Our first go-live was structured around Financial Aid and personal information and occurred in November 2021.
    • Go-Live 1A: Go-Live 1A is focused on OnBase verification and occurred in December 2021. 
  • Go-Live 2/2A: Our second go-live will also involve Financial Aid, as well as setting up Class Schedules and the Course Catalog. This occurred in January 2022.
    • Go-Live 2A: Go-Live 2A focused on the class schedule and instructor updates and occurred in February 2022. 
  • Go-Live 3/3A: Our third go-live will involve Financial Aid Disbursements, Student Accounts and Charges, Advising, Enrollment, Reporting and Student Records.
